Team pictures feedback – It was discussed that some parents were disappointed we didn’t have practice afterward but next year we will try to do a better job at informing everyone about whether or not we will have practice when pictures are taken. It is believed that pictures have not yet been delivered yet by Life Touch since being taken.
Registrar Report (by Kristen Schwind):
Discussed coaches meeting coaching requirements by end of year and how it is much more involved now and we need to ensure coaches are in compliance.
Kristin has one outstanding double roster request from Zach Sens to MYHL in adding two MYHL players from Bantam 3 to Bantam 2 for a tournament but a discussion was held that such approval may not be necessary since it is for non-league tourney.
Kristin caught that tryouts were posted incorrectly on Facebook page but were later corrected and she stated that the MYH website did have the correct dates posted.
It was discussed that we do not have an official Buckeye Travel rep but Mike Norton does keep in contact with Buckeye Travel personnel with regard to important events and is updated.
It was discussed that the first Thursday of every month would be the best time to have the meeting of the parent’s advisory board.
Treasurers Report (by Beth Frey):
We received $121.00 from selling equipment exchange from selling used equipment to Play It Again Sports which will go to Taylor Metcalf Fund once we obtain the fictitious name filing from the State of Ohio.
Beth distributed proposal for 3 v 3 Taylor Metcalf Tournament which was discussed at length
Greg Cox volunteered to be in charge of arranging players jerseys and sponsors for jerseys for the Metcalf Tourney– it was discussed that we are trying to distribute jerseys to the 3 v 3 players as part of the fee. The jerseys will use the Metcalf logo but we will not put the year on jersey so if we have extra they can be reused.
Discussed that the Taylor Metcalf Fund has a website which would either need to be updated and/or taken down and made part of the MYH website so as not to confuse people
It was discussed that Feb 2nd meeting agenda will be used to dedicate the entire meeting to the discussion of the proposed Bylaws.
Mike Norton discussed a social media policy should be added to proposed Code of Conduct

Discussed recent parent survey results – some felt higher skilled players should not be with lower skilled players in same practice, some felt individual team practice should be increased. Overall, 59 out of 60 were favorable to the program.
Mike Norton will attend a webinar on Feb 7th regarding bylaws which he will share with the advisory board so the discussion of the bylaws by the board will be postponed until after the webinar.

All our coaches have met their requirements for USA Hockey
A discussion of association-wide tournament feedback was held. There were some negatives about travelling for tournament on Thanksgiving.
Treasurers Report (Beth Frey):
Beth discussed the new brochure for the Taylor Metcalf Tournament
Edits to the Metcalf brochure were discussed
We need to have jerseys for Metcalf players ordered by Feb 15th
We need to raise $2,000.00 if we screen the front & back of jerseys or $1,500.00 for just front – we have $250.00 raised at this point.
Referees need to be schedule and the tournament is during the weekend before spring break and student referees may not be available.
One referee per game was deemed sufficient since games are half ice and penalties such as icing and off sides will not need to be called.
Club team may be at the National Championship that weekend so Mike Norton and Justin Camuto may not be present for the Metcalf Tournament so we will need volunteers to staff various needs.

Kristen is making one last attempt to get everyone’s birth certificate for the few who have not turned in copies of birth certificates for their player
MYH needs to keep in mind that proper age designations for teams – i.e. number should be first then letter i.e. 12U not U12.
Treasurers Report (Beth Frey):
Beth informed the board of the current amount of the Metcalf fund
The Metcalf tourney - so far, we have several teams from Miami and some from outside such as Dayton and Lexington and Cincinnati teams and some are mixes of them.
Bantam division has been toughest age group to organize due to perceived ability of players – i.e. some players feel they are not good enough to play.
Metcalf Tournament is March 18th (Sat.) & 19th (Sun.) - Saturday is Bantam, Sunday is Pee Wee & Squirt
Currently for Metcalf Tourney we have:
5 Pee wees team
6 Squirts teams
5 Bantam teams
Beth would like opening ceremony with National Anthem and an announcement about the Metcalf Tournament and its objective.
Beth handed out a donation letter to solicit donations for the raffle baskets
The raffle tickets will be $10 ticket price
No Bantam can be eligible to win the Signed jersey or sticks due to NCAA rules.
Beth will ask all the Miami teams to put together baskets for the raffle
Kevin Ackley is in charge of referees for the tourney

Mike Norton and Kevin Ackley held an informative high school hockey meeting which was thought to have gone well
Mike Norton & Kevin Ackley will be travelling to Columbus to meet with a league in Columbus to see about getting the high school team into said league.
Mike Norton recently had to deal with a match penalty to a Miami Player. A match penalty is severe and hearings are held regarding the incident.
Mike Norton stated that Tryout Training Camp and Hockey Tryout pamphlets and emails were sent out informing the hockey community about those upcoming dates

We need better communication from the association regarding the website and email communications, etc.
Kristen would like to see a 2-step process through Max Galaxy website where after registration page, the users are then they given a closed link where they could go to set up all of their communication preferences as part of completing their registration to avoid past communication difficulties.
The website has some issues with formatting that would have to be worked through
We need to be able to pull up current and updated email addresses to eliminate the gaps we had in communication issues we had last season
Kristen can upload the upcoming season ice time to the website if the data are in single cells on the spreadsheet so Mike Norton will try to do this for the upcoming season ice time

Metcalfe was a huge success and much is owed to the work of Beth Frey for its success
Mike Hallee suggested the 12U/10U tourney could be less games next year so players would be less worn out after the five games they played that day
Mike Norton also added that maybe divisions could be set up next year within the age groups to avoid lop-sided games
Mike Norton stated the he gave a presentation on MYH to Columbus HS team league board for potentially allowing MYH teams to enter their league which he felt went very well
Tryout training camp currently has 34 players in 12u and 16 players in 14U which are up from last year
MYH Tryouts are coming up on April 22nd-23rd and H.S. on April 29th with make-up dates April 30th
The new call back procedure was discussed for the April 30th dates which is new this year for more in-depth comparison of players who are “on the bubble” between teams
Mike Norton will send out a list of coaches to board for the upcoming season listed by age group
Mike Norton passed out new MYH Code of Conduct for review
Miami will be hosting a USA Coaching clinic Aug 19th for coaches to get Level 1-3 certificates
We will discuss the proposed bylaws at the next meeting. Mike Norton will send a proposed draft before said meeting for review.

Tryouts have taken place and we are in need of a Pee Wee 3 and Bantam 3 head coach
The Miami Code of Conduct that was approved has been posted to the website by Kristin Schwind
Mike Norton supplied the board with a draft of the proposed bylaws for review
The board discussed the need to add some parents of mites and squirts to the board since current members are parents of Pee Wees and Bantams. It was discussed that having a parent or two from each level would be the most desirable.
An application process or just sending out an email blast for parents interested in being on the board was discussed
Hockey equipment exchange was discussed.
It was discussed that we would be doing jersey/pant shell fitting at the second or third pond hockey session to try to avoid the first sessions because we are handing out hockey equipment to beginners during that session which is a very busy time.
It was discussed that we need to get jersey sizing to Capital Varsity by mid-summer so they can put the names on the jerseys
Kristin Schwind stated that she has posted all pond hockey dates to the website

Kristen has been working with coaches ensuring they are meeting requirements by deadlines
She plans to meet with team managers for team manager meeting so she can train them and distribute managers team books
A discussion was held regarding ice schedules and any changes and inputting schedules into the websites by team managers/coaches

Beth Frey provided the board with the current bank balance
She is trying to get Kroger card funds to switch over from Butler County to MYH
Beth will not be at the Taylor Metcalf Tournament to run it but will be do everything she can to prepare for it
It was discussed that adding 8U teams to Metcalf would help grow the tourney but it was also discussed that mites already play 3v3 on half ice so it’s not much of a novelty to them and it may make more sense to add high school player teams rather than 8U
Metcalf Tourney is set for March 17-18th, 2018 and it was discussed that we add the dates on the website to promote it.
New Business:
The MYH kickoff is this weekend Mike Norton is doing power point presentation to parents outlining expectations and Mike will address the AED machines and Lindsey’s law. Also, will go over social media making sure no one posts negative posts only positive posts.

There is no leftover equipment so we would have to start anew with equipment donations

Beginner hockey starts September 5, 2017
Justin Camuto put together a Junior Brotherhood proposal in which varsity team will provide 3 players for each team and to be at practice to promote the brotherhood for positive influences on players. We cannot do it with Bantam or above because they are prospective college hockey prospects.
The proposed Hockey by-laws were discussed and modified and Mike Norton will provide a new draft and provide to the Board for final review.

Small deposits from Kroger Community Rewards program continue to be added to the Taylor Metcalf Fund.Still working with Kroger for name change of account from BCYHA to Taylor Metcalf Fund – will probably need to start a new account instead.
Taxes will still need to do the long version tax for one remaining year. Short form will incur significantly lower fees in subsequent years.

All rosters have been approved by USA Hockey except a travel Squirt B team which is a work in progress and possibly a couple of Mite Jamboree teams
Kristen reminded the board that for any new players who join mid-season she needs to be able to claim their USA Hockey number on the USA Hockey website so they will be covered by our insurance.
Directors Report by Mike Norton:
MYHL teams completed their scheduling last weekend
Jr Redhawk house league (Mites & Squirts) started last Tuesday and numbers are have increased over last year
Beginner hockey starts Oct 17th for Session #2 and a lot of the beginner players have moved up to Mite house league
The learn to skate program has now set up a hockey section to try to transition learn to skate kids to the youth hockey program
Next Wednesday October 18th is the open house which encourages parents to bring their kids to try skating and there will be a hockey section to encourage new player participation in the youth program.
Mike Norton, Justin Camuto, Taylor Ley, and a Miami figure skating contingent did seven school visits this fall to promote hockey and skating for kindergarten through 6th grade during the gym period at area schools
Miami Youth Hockey Junior Brotherhood program was given approval from NCAA compliance and Justin is coordinating with a liaison to the varsity players to assign varsity players to each team with the plan that they would attend at least one practice during the week. We are also planning a junior brotherhood event in January at the Goggin with different stations explaining different aspects of the brotherhood.
The Men’s & Women’s club hockey are all undefeated at the moment which is exciting and will hopefully draw increased interest to the Miami program
Report by Justin Camuto:
USA Hockey does hockey across America each year and next year it’s the first week of March 2018 and we will run a 3 day event at the Goggin on March 2nd -4th and there will be 3 different events over that time to include a public skating event, a try hockey for free 45 minute session, and then a Miami Hockey Heroes public skate and there will be varsity hockey players at this skate and members of men’s and women’s Miami Club teams and the kids will interact with these players and admission will be free with the wearing of Miami apparel. These events will follow the 2018 Winter Olympics hockey tournament so we are hopeful that participation will be larger than normal.
There will be a 2 v 2 promotion to promote girl’s hockey in October 6-7th in 2018 and we will try to coordinate an event in accordance with that to promote girls’ hockey during that weekend in addition to other events and possibly a jamboree-type tournament.

We are working to get involved in incorporating the Dan Sens Memorial Golf Tournament which helps the Talawanda High School Hockey program with the Taylor Metcalf fund and help them grow and, in turn, also help the Metcalf fund because Dan Sens was significantly involved with the Taylor Metcalf fund.

All of our rosters are completed with regard to all programs
We have a JV High School team with 30 rostered players pulling from players from Bantam 9th grade and above and it is working out very good for all teams.
Kristen discussed curbing association jumpers who wind up not paying fees from one association and jumping to another association. She suggested developing a mutual agreement among local hockey associations to notify other association if a player has an outstanding balance for example. It was discussed that Mid-Am might want to propose such a rule for all associations under its jurisdiction.

Junior Brotherhood program is up and running for MYH Mite, Squirt and Pee Wee and is going extremely well.
Report by Justin Camuto:
It was discussed that MYH is wanting to become a USA Hockey ADM model organization and there are only 21 of these ADM model organizations in the country.
Dan Sens Memorial Golf Tournament update - Justin will work on this with Zach Sens and there has been talk of combining the golf tournament with the Taylor Metcalf Fund and they would split proceeds 40% Taylor Metcalf fund, 40% Talawanda hockey and 20% to a graduating senior player who plays under the Miami Youth Hockey program. There would also be hole sponsors to bring in more proceeds. There could also be items raffled off and silent auction with baskets to raise additional proceeds. They are also looking at donations for food for the tournament for breakfast, lunch and dinner. The maximum golfers would be 36 foursomes. The date for the tournament may be towards end of July 2018.
The “Try Hockey for Free” event went well and MYH had 35 registered participants and 24 attended that had not played hockey before. We had 20 people helping and 16-20 coaches were on the ice and 4 players signed up that day for beginner hockey. There will be another one in March.
Junior Brotherhood Day is Sunday, January 21, 2018 it will get the Pee Wee, Squirt and Mite level teams involved (No Bantam and higher due to NCAA rules) with their parents to the event hosted by the Varsity Team and the Club team and Coach Blasi will speak, as well. There will be 4 locations within Goggin where varsity players will be stationed and they will give a presentation in each spot about the brotherhood and what it means. We will communicate with local news outlets to cover this for publicity for the Miami hockey organization. We expect about 155 players plus parents to attend their event.
Taylor Metcalf fund report (by Beth Frey):
Beth provided the board with the balance in the fund and reported that the used equipment sale raised even more money than last year.
Beth changed the name in the Kroger points card and Amazon Smile reward system from Butler County Youth Hockey to Taylor Metcalf Fund where users can donate their points to Metcalf fund and Kroger and Amazon will deposit money into the Metcalf fund when this happens.
Beth provided an update as to the new ice times for Metcalf tournaments which should allow for 6 teams in each of the 6 divisions.
We discussed adding High School team level to Metcalf but some High School players from surrounding areas may not have a USA hockey number which would be required (for example Talawanda H.S. players) so we may not have enough HS players to field Metcalf teams.

There are still seven players who are still not registered on the website with accounts. Kristen is trying to communicate with them to get them to register.
Kristen asked if we need anything else posted on the website and it was discussed that tryout dates were ready and we need to post a save-the-date message to get the word out.
Taylor Metcalf fund report (by Beth Frey):
Beth provided the board with the account balance for the Metcalf fund.
She is still working on transitioning the Kroger funds from Butler County to Miami Youth Hockey which has been a process.
Beth suggested we give the Dan Sens Golf Tournament more of a high school benefit feel by doing some awards for just the high school player/golfers like separate awards for closest to pin for high school player, longest drive for high school player, etc.
Beth gave us an update as to details of running the Metcalf fund providing specific names for those who will run each station (clock, announcer, etc.) at the tournament.

It was discussed that we need to have meeting with the high school parents and players going forward to discuss how high school hockey works with regard to high school hockey rules and how we wish to conduct the rosters so that communication flows better so that everyone is on the same page.
